This website and the Gearhaus Roadtrip are operated by Palahala Media Group Limited (the Gearhaus brand, “Gearhaus”, “we”, “us” or “our”). We respect your privacy and are committed to protecting the personal data you share with us.

This Privacy Policy explains what information we collect through our website at itsgearhaus.com, our road trips and events, and our other channels; how we use it; and the rights you have under the Data Protection Act, 2019 (Kenya). By using our website or participating in our events, you consent to the practices described in this policy.

1. Information We Collect

We collect information in the following ways:

  • Information you give us: your name, date of birth, email address, phone number, driver’s licence details, vehicle registration and details, emergency contact, any medical conditions you choose to disclose, and, where you are a Guardian Participant, the name and date of birth of any Minor occupant. We also collect any other information you provide when you register for a road trip, contact us, sign up for updates, or purchase merchandise.
  • Payment information: payments for trips and events are processed by our third-party ticketing and payment partners. We do not store your full card or mobile-money details on our servers.
  • Information collected automatically: when you visit our website we may collect device and usage data such as your IP address, browser type, pages viewed, and referring pages, through analytics tools.
  • Media: photographs and video footage captured during our road trips and events, which may feature you or your vehicle (see “Photography and Your Image” below).

2. How We Use Your Information

  • To organise, manage and deliver the road trips, convoys and events you register for;
  • To verify eligibility, process your registration and confirm your place;
  • To communicate with you about bookings, logistics, safety and changes to an event;
  • To respond to your enquiries and provide customer support;
  • To send you updates and information about new trips or merchandise where you have asked to receive them;
  • To produce, publish and market content documenting our events and community;
  • To operate, maintain, analyse and improve our website; and
  • To comply with our legal obligations and enforce our Terms and Conditions.

3. Sharing Your Information

We do not sell your personal data. We may share it with:

  • Service providers and partners who help us run our events and website (for example ticketing, payment, hosting and analytics providers), who may only use it to provide those services;
  • Convoy support teams (such as lead and sweeper drivers, security, medical and recovery personnel) to the extent needed to keep you safe during an event;
  • Authorities or third parties where we are required to do so by law, or to protect the rights, safety or property of Gearhaus, our participants or the public.

4. Cookies and Tracking

Our website uses cookies and similar technologies, including privacy-friendly analytics, to understand how visitors use the site and to improve performance. We also embed content from third parties such as YouTube, which may set their own cookies. You can control cookies through your browser settings; disabling them may affect how parts of the site work.

5. Photography and Your Image

By participating in our events, you grant Gearhaus the right to use your name, image, likeness, voice and any footage in which you appear for promotional, editorial and marketing purposes, as set out more fully in our Terms and Conditions. Where a Minor travels in your vehicle, their image will not knowingly be featured in our content unless a Guardian Participant has completed a Minor Media Consent Form. If you do not wish to be featured, please tell us in writing in advance.

6. Data Security

We take reasonable technical and organisational measures to protect your personal data against loss, misuse and unauthorised access. However, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

7. Data Retention

We keep your personal data only for as long as necessary for the purposes set out in this policy, including to meet our legal, accounting or reporting obligations, after which it is deleted or anonymised.

8. Your Rights

Under the Data Protection Act, 2019 (Kenya), you have the right to be informed about how your data is used, to access your data, to request correction of inaccurate data, to request deletion, to object to or restrict certain processing, and to withdraw consent at any time. To exercise these rights, contact us using the details below. You also have the right to lodge a complaint with the Office of the Data Protection Commissioner (ODPC) of Kenya.

9. Children's Privacy

A Minor (any person under 18, as defined under the Children Act, 2022) may attend our events only as a passenger and only under the supervision of a parent or legal guardian who is a registered participant. We collect a Minor’s details solely from that Guardian Participant, for safety and event administration, and we do not knowingly collect personal data directly from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above, and significant changes will be communicated where appropriate. Your continued use of our website or participation in our events after changes take effect constitutes acceptance of the updated policy.
